Attendance

LEPs submit attendance data to FPG every summer or fall for the previous school year.  FPG creates a blank spreadsheet** to be completed by each LEP. 

The Attendance spreadsheet includes the following information on each row when it is shared with the LEP:

  • Child ID
  • Class ID
  • Child’s Name (if the LEP entered names into our database – some do not)
  • Gender

For each row, in a typical year the LEP completes two columns:

  • Days Attended
  • Days Possible

Starting in 2019-20, LEPs complete the following columns for each row:

  • In-person days attended
  • In-person days possible
  • Remote days attended
  • Remote days possible
  • COVID closing date1
  • COVID reopening date1
  • COVID closing date2 (if needed)
  • COVID reopening date2 (if needed)
  • additional closing and opening dates if needed

To obtain your spreadsheets for completion:

  • Notify Keil Jones and/or Kalen Donahue that you have completed your error corrections (see previous section of this chapter)
  • Once FPG notifies you that your spreadsheets are available, log in to the main EIS website using your UNC ONYEN and password
  • Click on the Download tab along the top of the screen
  • To download your blank Attendance spreadsheet, from the Select Measure drop-down, choose Yearly [Attendance]
  • To download your blank Disability spreadsheet, from the Select Measure drop-down, choose Yearly [Disabilities]
  • Again, be sure to select the proper school year. If the EIS site has already been set forward to the new school year, you may have to select the previous school year here
    • For sites with multiple schools, you will need to choose a school in the Select Site drop-down. And you will get a separate Attendance spreadsheet for each school (same for Disability)
  • Then hit the Request button and it will download

Next you will take the Attendance and Disability spreadsheets that you downloaded, and fill them in.

  • Please look over the data dictionary documents on SharePoint, before you start filling out your worksheets.  Documents | EducareIS Website Dictionaries
  • For sites that generate these files some other way (export from Child+, or some other local system you have set up), but sure to name your worksheet tabs in your Excel files this way: ATTN in your attendance file, DISAB in your disability file

To upload your completed attendance and disability spreadsheets:

When you have completed filling out your attendance and disability sheets, you will not put them on SharePoint, you will upload them to the EIS web site.

  • Log in to our main EIS web site, using your Onyen user name and password
  • Click on the Upload tab along the top of the screen
  • Click New Upload
  • From the Select Measure drop-down, choose Yearly [Attendance] (or choose Yearly [Disabilities], depending on which file you are uploading)
  • You do not need to choose school year. Don’t worry about the value in the grayed-out box
  • Click Choose File to select your file
  • Then click the Upload button
    • For sites with multiple schools, you can combine all your attendance files into one file, and all your disability files into one file, for fewer uploads, if you want. Or you can do a separate upload for each school – it makes no difference to our system
