Annual Error Reports
At any time using the educareis website, LEPs can generate a list of errors for their site’s data in the database.
- Log in to our main web site, using your Onyen user name and password
- Click on the Reports tab along the top of the screen
- From the Select Report drop-down, choose Annual Error Report
- Be sure to choose the correct school year. If you are running these in late summer, we may have already flipped the EIS site to the new school year. So you may have to choose the previous school year here
- For sites with multiple schools, you will need to choose a school in the Select Site drop-down. And you will get a separate error report for each school
- Click the Run button, then click the Download button when it is ready
- It saves an Excel file. That file has sensitive data, so be sure to move it to a secure drive (don’t save it on your C: drive)
- Notice, the different validations are on different worksheet tabs. So be sure to work through all of the worksheet tabs
- As you make the error corrections in the EIS web site, you can re-run this report to see the errors drop off the list
Types of errors include:
- Missing From Roster. Any children not included in a fall or spring roster will be missing from the blank Attendance and Disability spreadsheets FPG generates. All the children listed should either be added to rosters or exited with an exit date.
- 60+ and No Exit Date. There may be no error to correct. Most of the children on this list were probably enrolled in their PreK year at your site and no corrections are needed. Check to make sure none of them exited prior to or during the school year in question.
- In Roster But No Measure Data. Some children might need to have assessments added into the website. Others may not have any assessment data. Some may have exited and need an exit date in the system.
- Case DOB and Measure DOB Do Not Match. When possible, correct whichever birthdate is wrong. If needed, recompute the scores that depend on the child’s age.
- Measure Date Outside Start and Exit Date Range. If the date on a child assessment is later than the exit date entered into our system, see if you can figure out which one is incorrect and update it in the system.
Note: for some types of errors, errors from past years will appear on the report. We realize that it may no longer be possible to find the correct information. Just do your best. Keep a record of the non-fixable errors for your reference in case they reappear on the error report in subsequent years.
Notify FPG when you have completed all the corrections you will be able to do. Blank spreadsheets for Attendance and Disability data are then generated by FPG.
