UPDATE SPRING 2023: There is now an option for LEPs to receive links to e-surveys from FPG.  LEPs must distribute the links.  

Please review the requirements and instructions below about how to receive links from FPG.  

NOTE: this new process replaces the option upload spring survey data into FPG’s website.  The upload option available in 2021 and 2022 is no longer available.  

LEPs must upload a Preload file into the main EIS website.  This file connects siblings/children with the same caregiver so that each primary caregiver receives the right number of “child” sections and they are connected to the right children.  In 2023, the step where DMAC processes your Preload file will have to be done manually by us. Perhaps in future years we will be able to automate that step.

General Overview of the Process

• You will upload your Preload file to the EIS web site (detailed instructions are further below)
• Once you do, email us and let us know that you uploaded it
• We will have to run a separate program that will generate the survey links
  • There may be a delay on this. We might run this program when we’ve gotten files from several sites
• We will email you when we have processed your file
  • You can download your file earlier. The file will tell you if all records have been processed yet
• Then you can download an Excel file from the EIS web site – that will have Child IDs and survey links in it (detailed instructions are further below)
  • You will have to decide how to use that file. Such as using it to do a mail merge to email links to parents. If you do that, the next step after downloading the Excel file might be adding in the parent emails to the file

Additional Important Details

On the day the Spring Parent Surveys go live, we will then have to process your Preload files. So it might be later that day, or even the next day when you can get your Excel files with links back from us. Then you will have to do your mail merge, or what have you, with that file. All this is to say, the day that you distribute the links may be a day or two after our go-live date. So you may have to plan this and communicate this to parents accordingly.

You cannot “edit” a record once you have uploaded it. We did not have time this year to program functionality to look for preload records that have been modified. So if you need to change something, after you have already uploaded your Preload file, you will have to contact us so we can do it. Important note: You can upload additional, new preload records (more children that need a survey generated). You will only have to contact us if you need to change something in a record (Child ID) that you have already uploaded.

Sites with multiple schools: You can upload your Preload files all as one file, or as separate files for each school. It makes no difference. But your file back, with the survey links, will have all schools in one file. (You could easily sort that file by the SiteAbbrev column, and copy the rows for the different schools into separate files if you wanted.)

Detailed Upload Instructions

• Log into our main EIS web site using your Onyen user name and password
• Click the Upload tab along the top
• Click the New Upload button near the top
• From the Select Measure drop-down, choose Spring Survey [Preload]
  • If you need the template, to prepare your upload file, click the Download Template button here
• Then click the Choose File button
• Once you have selected your file, click the Upload button

Detailed Download Instructions

• Log into our main EIS web site using your Onyen user name and password
• Click the Download tab along the top
• From the Select Measure drop-down, choose Spring Survey [Preload]
• Then click the Request button

DMAC will be glad to assist if you need help doing a VLOOKUP or XLOOKUP to merge your parent emails into the file with survey links, or if you need help doing a mail merge in Outlook

Spring Parent Surveys can also be entered manually (see Entering Data).
